Marketing for party and event rental companies: how to get booked before the season starts
Event rentals are booked months ahead, by people comparing photos and prices late at night. The companies that win have their catalog, prices and proof online before the season, not during it.

How do party and event rental companies get more bookings?
Party and event rental companies get more bookings by showing their real inventory with prices “from”, offering ready-made packages by event size, making it easy to check a date, collecting reviews that mention the event, and working with planners and venues who refer clients. Most bookings are researched on a phone weeks or months ahead, so all of this must be online early.
Should you sell packages or individual items?
Offer both, but lead with packages. A “100-guest backyard wedding” package with a tent, tables, chairs and lighting answers the buyer’s real question, how much will my event cost, in one look. Individual item pages still matter for search and for planners who know exactly what they want. Mark one package as the most popular to make choosing easier.
| Package idea | Typical contents | Why it works |
|---|---|---|
| Backyard party (50 guests) | Canopy, 6 tables, 50 chairs, lights | Answers “what do I need?” in one look |
| Wedding (100–150 guests) | Tent, tables, chairs, dance floor, linens | Highest-value booking; most compared |
| Corporate event | Stage, cocktail tables, lounge set | Repeat business, planner referrals |
What photos sell event rentals?
Real setups at real events sell far better than catalog shots on white backgrounds. Show each tent or dance floor at an actual venue, at night and by day, with the guest count in the caption. Buyers want to picture their own event; Nielsen Norman Group’s eye-tracking work found people study real photos and skip generic ones.

Which searches matter for event rentals?
Focus on item plus city (“tent rental Austin”), event plus rental (“wedding rentals near me”), size questions (“what size tent for 150 guests”) and price questions. Size questions are the easiest to win with a simple table, and planners share those pages. Instagram posts from business accounts can also show up in Google since July 2025, so caption them with the item and city.
| Guests | Seated dinner (rule of thumb ~12–15 sq ft per guest) |
|---|---|
| 50 | ~600–750 sq ft (e.g. 20×30) |
| 100 | ~1,200–1,500 sq ft (e.g. 30×40 or 30×50) |
| 150 | ~1,800–2,250 sq ft (e.g. 40×50) |
Instagram indexing: Inro on Google indexing Instagram (2025). The tent table is a common planning rule of thumb; publish your own based on your layouts.
When should event rental companies start marketing for the season?
Six to eight weeks before buyers start booking, which for weddings means publishing and updating pages in winter for spring and summer events. Graduation, holiday and corporate party seasons each deserve their own page, published two months ahead. After each season, add photos and reviews from it instead of deleting the page.
How do planners and venues fit into marketing?
Planners and venues are the most valuable source of repeat bookings, and their websites linking to you also helps search and AI visibility. Create a simple page for planners with your trade terms, delivery windows and a downloadable catalog, ask venues to list you as a preferred vendor, and tag them in setup photos. Membership in the American Rental Association adds another trusted mention.
